3. Rules for completing the application

  1. Applications were constructed not to limit the creativity of applicants, but at the same time avoid mistakes that could result in rejecting the application at the stage of eligibility check;
  2. In order not to lose the entered data, use the "Zapisz jako szkic(Save as draft)" button that saves the application as often as possible. After this operation, it is also possible to print a draft;
  3. The fields to be filled depend on the selected component and actions;
  4. In components III and IV (Institutional Cooperation) more than one action can be selected within one application;
  5. The change of selected actions may affect other sections of the application, therefore it is advisable to be careful making it;
  6. The fields to be filled in Polish and English are usually next to each other. If it is different, there are two possibilities: either the content of the field is identical in Polish and English (eg numeric fields), or for technical reasons it was impossible to separate fields - in English the text should be entered in brackets (this is the case in objectives and indicators, if the applicant wants to add their own outcome or output);
  7. Mandatory fields are marked in red. It should be noted that some fields are not required from the system's point of view, but they can have a significant impact on the assessment. For example: objectives and indicators' section does not contain any required field, because there may be projects that have only 1 type of results, while leaving this part of the unfilled application may ruin the chance of obtaining funding;
  8. Fields filled incorrectly have red border;
  9. Most fields are set to validate the entered content in accordance with the assumptions of the action (eg restrictions on the number of people, duration or amount of funding), but also the nature of the information (zip code, e-mail, etc.). When entering the institution, there is another validation regarding the applicant and the leading authority, and other for participating institutions. This is due to the fact that the applicant is always a legal entity from Poland, while the participating institutions may come from other countries, where the system of writing e.g. the zip code may be different. In the case of the applicant, we also have a drop-down list with the choice of voivodeship, for other institutions the equivalent of this field will be "region" - for the institutions from Poland enter the voivodeship there, and for organizations from other countries the equivalent of this administrative unit, and if there is no or is not known, simply repeat the name of the place;
  10. Each field is preceded by a description containing information about the data to be entered;
  11. Where it can be justified, it is possible to add further items - by clicking the "Dodaj (Add)" button in the right place. Similarly, it is possible to delete fields by clicking "Usuń (Delete)", sometimes preceded by pressing the red x. Each item of this type can be edited - to do this, click the pencil icon next to it, make changes and confirm them by clicking the "Gotowe (Done)" button;
  12. Standard scales of unit costs were used in the budget sections. The exception are costs related to special needs (all components) and extraordinary costs (Components III and IV, actions a and c);
  13. In case of standard scales of unit costs, only quantitative information should be included in the calculation (the exception is the travel cost depending on the distance. The applicant should assign the appropriate value). Since the subsistence costs are also included in the travel time, in most cases this amount is calculated only after the travel information has been entered, and it can therefore turn out that if participants to receive subsistence have not been introduced to the travel table, these funds will not be granted. If they do not travel, you should choose the cost of travel 0 and travel time 0. In the table, you can enter participants from the host institution, while the subsistence costs will not be calculated (in this case, the costs of language preparation and local travel are possible);
  14. Costs of participants with special needs are divided into two types: related to the participation of an accompanying person and others. In this case, the appropriate standard scale of unit costs applies, in the second quota value. If the participation of an accompanying person would require a cost other than that resulting from mobility, this item should be added to other costs and properly described;
  15. The "Oświadczenia (Declarations)" tab contains links to the required declarations. Signed scans and other necessary documents should be attached there after clicking on the "Dodaj plik (Add file)" button. Attention, due to the different number of files (eg several scans in 1 file or 1 scan = 1 file), no restrictions have been set here, so it is possible (though not recommended!) to submit an application without attaching documents.
